Overview of the two types of users in Adaptive: admins and employees

Overview

Adaptive offers two types of users:

  • Admins: Administrators who manage the Adaptive program via the admin app.

  • Employees: Employees who are eligible to receive training or phish simulations. Employees can access the training app.

    • Admins must be added as employees to access the training app.

All admins and employees must have an email domain that matches the email domain in Settings > Domains > Email Domain.

Admins

Admins manage the Adaptive program via the admin app.

Management

Admins are managed in the Admins tab.

  • Add a new admin: Click Add an Admin button in top right

  • Remove an admin: Click three dot menu > delete user on a specific admin to remove their access

Authentication

Configure admin authentication in Settings > Authentication > Admin App Sign-in. Note only Okta requires explicit configuration for OIDC / SSO.

Admins can login either via two options:

  1. Password

  2. OIDC / SSO (Google, Microsoft, Okta)

Employees

Employees are eligible to receive training or phish simulations. Employees are added in the Employees tab. Employees can access the training app.

Management

Employees are managed in the Employees > Sources.

There are two ways to add employees:

  1. (Recommended) Employee sync integration: Employee sync integrations sync employees every 24 hours from your active directory or HRIS.

  2. Manually added via CSV or UI: Employees can be manually uploaded via CSV or by adding an employee one-by-one

Status

Employees can be one of three statuses:

  • Active: Employees who have been added to Adaptive (via an identity employee sync or CSV upload) and who have not been deactivated or excluded. Active employees can receive training and phishing simulations.

  • Deactivated: Employees that have been removed from your identity employee sync or CSV upload (e.g. due to termination). These employees are not eligible for training or phishing simulations but remain visible in historical reporting and CSV exports.

  • Excluded: Employees manually excluded in the Adaptive Admin app (via the Employees tab), typically because they are on leave or are non-human accounts like test users or meeting room aliases. Excluded employees are not eligible for training or simulations but remain visible in historical reporting and CSV exports.

Authentication

Configure employee authentication in Settings > Authentication > Employee Training App.

Employees can login into the training app via three options.

  1. Magic Link

  2. OIDC / SSO (Google, Microsoft, Okta)

  3. SAML

Can I restrict my admins to only login with SSO?

Yes. Navigate to the 'Settings' tab in your Adaptive account and select the authentication tab. Remove any authentication option you don't want.
